The transport log book is where you write down what happens to each bus: trips, fuel fills, workshop visits and incidents. Use it every day so you always know what your buses are doing and what they cost.

Before you start

  • Add your buses first. Fuel, servicing and trips are all logged against a bus. To add buses, see Add routes, stops and buses.
  • For trips, the bus should already be on a route.

Steps

  1. Go to Transport → Log book.
  2. Pick the tab you need: Fuel, Workshop, Trips or Incidents.
  3. Use From to choose the period you want to see.
  4. Start a new entry.
  5. Fill in the details and press Save.

What to write in each tab

  • Fuel: the Vehicle, Date, Litres, Amount and Odometer reading. The odometer is needed for mileage. To delete a wrong entry, use Remove this fill.
  • Workshop: the bus, What was done, and when the work is Next due. Next due can be a date or an odometer reading, whichever comes first.
  • Trips: the Route, the Shift, and the Odometer out and Odometer in readings.
  • Incidents: a breakdown, a near miss or an accident. Choose How serious it was, then write What happened (for example, "Rear tyre burst near the bypass; no injuries") and What was done. Write it down while it is fresh.

See what your buses cost

Open the What it costs tab to see a cost report for your buses for the period you chose.

Document expiry

EduHost also keeps track of when a bus's documents expire, so you can renew them on time.

Good to know

  • Each bus's odometer moves forward on its own as you log trips and fuel fills.
  • A route keeps running even while its bus is in the workshop.
  • If a tab is empty, nothing was recorded in that period. Try a different From date.
