Charge transport fees

Add bus fares to your students' fee bills, so transport is billed with their other fees.

Use this when you want bus fares to appear on each rider's fee bill. Once it is on, the transport charge is added to fee invoices along with the school's other fees.

Before you start

  • Your routes, stops and buses are set up. See Add routes, stops and buses.
  • Students are on a bus as riders. See Assign students to a bus.
  • You have at least one distance circle with a monthly fare. Until one exists, no rider has a fare.

How the fare is set

  1. Go to Transport → Stops & fares.
  2. Under Distance circles, click Add circle.
  3. Enter Up to (km) and the Monthly fare.
  4. Click Save.

Each stop has a Distance from school (km). This distance decides which circle, and so which fare, a rider pays. When you put a rider on a bus, you can type a Fare by hand instead. Leave it blank to use the distance circle.

Turn on transport billing

  1. Go to Transport → Billing.
  2. Switch on Add transport to fee invoices. It is off at first.
  3. Under Charge it under, choose a fee head. Pick a head that no fee structure already charges.
  4. Under One-way riders pay, enter a percent of the round-trip fare.
  5. Click Save.

Bus fees follow the ride dates

The transport charge follows the dates a child actually rides the bus. If a child starts riding later, or stops riding, their bus fee follows those dates. You do not need to change the bill by hand.

Good to know

  • Turning this on does not change bills you have already made. Nothing already invoiced changes.
  • Use a separate fee head for transport, so the bus fare is not charged twice.
  • Transport shows on the same fee bill as other fees. Parents who use the parent login see it under Fees.
