Set up salary structures

Set up pay heads and give each staff member a salary structure so payroll can work out their pay.

Before you can run payroll, EduHost needs to know what each staff member earns. You do this with pay heads (the parts of a salary, like basic pay or HRA) and a salary structure for each person.

Before you start

  • Add your staff first. Payroll works only for people already in Staff.
  • Keep the salary details of each staff member ready.

Set up pay heads

A pay head is one line on the payslip. Some add to pay, like basic pay or HRA. Some take away from pay, which are deductions.

  1. In the sidebar, open Staff → Payroll.
  2. Open Setup.
  3. To start quickly, click Set up defaults. This adds common pay heads for you.
  4. To add your own pay head, use the add option on the same page and type its name, for example HRA.
  5. Enter how it is worked out. You can write a fixed amount, or work it out from another pay head. The screen shows an example: BASIC * 40%, which means 40% of basic pay.
  6. Save the pay head.

Give a staff member a salary structure

  1. Go to Staff → Payroll → Salaries.
  2. Pick the staff member.
  3. Fill in the amount for each pay head that applies to them.
  4. Save.

Check it worked

  1. Open the staff member's page from Staff.
  2. Look at the Salary part. It shows Gross, Deductions and Net pay.

If you see No salary structure set., that person does not have a structure yet. Set it under Staff → Payroll → Salaries.

Good to know

  • Do this once for each staff member. After that, each monthly payroll uses their structure.
  • To pay staff and give payslips, see Run payroll and share payslips.
  • For PF, ESI, PT and TDS, see PF, ESI, PT and TDS.
  • To cut pay for absent days, see Loss of pay from attendance and leave.
