Bring in old dues (opening balances)

Bring the fees each student still owed before you started on EduHost into the app as opening balances.

When you start using EduHost, some families may still owe fees from before. These old dues are called opening balances. You can import them, so the money owed is not lost when you move from your old system or register.

Before you start

  • Add your students to EduHost first. Old dues belong to a student.
  • Collect each student's old due amount from your old software, register or fee book.
  • Check the amounts carefully. Wrong amounts mean wrong bills for families.

Steps

  1. In the sidebar, open Fees → Fee setup.
  2. Find the part of the page for importing opening balances (old dues).
  3. If the page gives you a sample file, download it.
  4. Fill in each student's old due amount in the file, the way the screen asks.
  5. Upload your file on the same page.
  6. Read the list the app shows you. Check that the students and the amounts are right.
  7. Fix any problems the app points out, then upload the file again if needed.
  8. Confirm the import to save the balances.

After the import

Open Fees → Unpaid to see who still owes money. When a family pays an old due at the counter, use Fees → Take fee and give them a receipt as usual.

Good to know

  • Do this once, when you first start on EduHost. It is for dues from before EduHost, not for this year's fees.
  • For this year's fees, see Create fee heads and Build a fee structure.
  • Only staff whose role allows fee work can do this. If you cannot open the page, ask your school admin. They can change this under Roles & Permissions.
  • Do it before you start collecting fees in EduHost, so families see one correct total.
