Make a list of the things your school charges for, like tuition, transport or lab fees, before you build fee structures.

A fee head is one thing your school charges for, such as tuition, transport, lab or exam fee. You create your fee heads first. Later you use them to build fee structures and make bills.

Before you start

  • Write down every fee your school takes. For example: admission fee, tuition fee, lab fee, exam fee, sports fee.
  • For each fee, decide if it is one-time or repeating.

One-time fees are taken once, for example an admission fee. Repeating fees come again and again, for example a tuition fee every month or every term.

Steps

  1. In the sidebar, open Fees → Fee setup.
  2. Go to the part of the page that lists fee heads.
  3. Click the button to add a new fee head.
  4. Type a clear name, for example Tuition fee.
  5. If the form asks for a short code, keep it short, for example TUIT for tuition.
  6. If the form asks how often this fee is charged, choose one-time or repeating.
  7. Click Save.
  8. Do the same for every other fee on your list.

Good to know

  • Use simple names that parents understand. These names can appear on bills and receipts.
  • Make one fee head for each kind of fee. Do not put tuition and lab fee together in one head.
  • The amount for each class and the installments are set when you build the fee structure. See Build a fee structure.
  • Sibling discounts and other concessions are covered in Add discounts and scholarships. Late fines are covered in Charge a late fine.
  • If your school uses the Transport or Hostel pages, those fees can be sent into Fees from there.
  • If you cannot open Fee setup, ask your school admin. They can give your role access under Roles & Permissions.
