Use the Income and Expense pages in Accounts to write down money that comes in or goes out of the school. For example, you can record a hall rent received, or an electricity bill paid.
Before you start
- Your account heads should be ready. A head is the name you file money under, like "Electricity" or "Donations". See the article Set up account heads.
- Your bank and cash books should be added. See Bank and cash books.
- Do not record fee payments here. Fees can go into Accounts from the Fees module. See Post fee collections into Accounts.
Record an expense
- In the sidebar, open Accounts → Expense.
- Start a new expense entry.
- Choose the head this money was spent on.
- Fill in the amount and the other details the form asks for.
- Press Save.
Record other income
- In the sidebar, open Accounts → Income.
- Start a new income entry.
- Choose the head this money came under.
- Fill in the amount and the other details the form asks for.
- Press Save.
Good to know
- The Expenses item in the sidebar opens the same place in Accounts. It is not a separate book.
- Your entries show in the day book and in account reports. See Day book and account reports.
- If your school uses approvals, an expense may need someone to approve it. Waiting requests show under Approvals.
- If you see "This page isn't part of your role", ask your school admin. They can change what your role can do under Roles & Permissions.
- Accounts is only for school staff. Parents do not see these entries.
