Account heads are the names you use to sort your school's money. For example, money coming in can go under a head like tuition fees, and money going out can go under a head like electricity. Set up your heads before you start recording income and expenses.

Before you start

  • Make a short list of the kinds of money your school gets. These are your income heads.
  • Make a short list of the things your school spends on, like salaries, rent or repairs. These are your expense heads.
  • Your role must be allowed to open Accounts. If you cannot see it, ask your school admin.

Steps

  1. In the sidebar, open Accounts → Heads.
  2. Look at the list of heads that are already there, so you do not make the same head twice.
  3. Start a new head using the add option on this page.
  4. Type a clear name for the head.
  5. If the form asks for a short code, type one that is easy to remember, for example TUIT for tuition.
  6. Choose whether this head is for income or for expense.
  7. Press Save.
  8. Do the same for each head on your list.

Good to know

  • Use simple names that everyone in the office will understand.
  • Keep the number of heads small. Too many heads make reports hard to read.
  • Once your heads are ready, see Record an expense or other income to start entering money.
  • To send fees you take at the counter into Accounts, see Post fee collections into Accounts.
  • Your heads are used when you check totals in Day book and account reports.
