Use the bank and cash books to see the money in each of your school's bank accounts and in cash. When you move money between bank and cash, for example when you deposit the day's cash in the bank, record it as a transfer so both books stay correct.
Before you start
- You need access to Accounts. If you cannot see it in the sidebar, ask your school admin.
- Your bank accounts and cash should already be set up. See Set up account heads.
See a bank or cash book
- In the sidebar, open Accounts → Banks.
- Find the bank account or cash book you want to check.
- Open it to see the money that came in and went out.
Move money between bank and cash
- In the sidebar, open Accounts → Transfers.
- Start a new transfer.
- Choose the account the money leaves. For a cash deposit, this is cash.
- Choose the account the money goes into. For a cash deposit, this is your bank.
- Type the amount.
- Check the details, then press Save.
The money now leaves one book and shows in the other. Your school's total money does not change. A transfer is not income or an expense.
Good to know
- Use a transfer for bank deposits, cash taken out of the bank, and money moved from one bank account to another.
- To record money spent or other money received, see Record an expense or other income.
- Fees taken at the counter can reach Accounts on their own. See Post fee collections into Accounts.
- To see all entries for one day, see Day book and account reports.
- A past academic year is read-only. To add new entries, go back to the current year.
