Add users and assign roles
Add staff to EduHost and choose a role, so each person sees only the pages they need for their work.
Getting startedUpdated 17 Oct 20262 min read
Every staff member who signs in to EduHost has a role. The role decides which pages they can open. Use this guide when a new teacher or office worker joins, or when you want to change what someone can do.
Before you start
- You need to be the Owner or an Admin.
- Have the person's name and email ready. EduHost sends the sign-in invite to this email.
Add a staff member
- In the sidebar, open Staff → Directory. You can also use Add staff in the quick add menu.
- Fill in the person's details, with their email.
- Choose their role, for example Teacher or Accountant.
- Click Save.
- The person gets an invite email. They open it and set their own password. The link works once, for 7 days.
See and change roles
- In the Settings part of the sidebar, open Roles & Permissions.
- Open Staff roles to see the roles your school uses.
- To make your own role, click New role.
- Type a Name for the role.
- In Start from, pick a role that is close to what you need.
- Turn on the pages this role should open, and turn off the rest.
- Click Save.
If you change a built-in role, EduHost marks it as Changed from the default, so you can see what is different.
Teacher or office staff?
- Teacher: works with their own classes. They mark attendance, give homework, enter marks and write the class diary.
- Accountant: fees, bills, receipts and accounts.
- Receptionist: front desk work, like visitors and enquiries.
- Principal and Admin: see most of the school.
Give each person the smallest role that lets them do their job.
Good to know
- If someone opens a page that is not in their role, they see This page isn't part of your role. They should ask you to change their role.
- The AI assistant also follows the person's role. It cannot do anything their role cannot do.
- When a staff member is marked as Left the school, they can no longer sign in.
- Parents and students get their own logins. See Give parents and students a login.
- Teachers can also use a simple phone app. See How teachers sign in and use their app.
