Use a refund when you need to give money back to a family for a fee they already paid. For example, they paid twice by mistake, or paid the wrong amount. You start the refund from the payment's receipt and write down why you are giving the money back.
Before you start
- Find the receipt for the payment you want to refund. Check the student's name, the amount and the date.
- Decide the reason for the refund. You will need to write it.
- Keep the cash or cheque ready to give back to the family.
Steps
- In the sidebar, open Fees.
- Find the student and open the fee receipt for the payment you want to refund.
- Check that it is the right receipt.
- On the receipt, choose the option to refund the payment.
- Type the reason for the refund. Write it clearly, so anyone can understand it later.
- Check the details again.
- Confirm the refund.
- Give the money back to the family.
Good to know
- On the Dashboard, the Fees collected today number is shown after refunds. A refund you make today lowers that number.
- Do refunds before you count and close the day's cash. See the article Close the day's collection.
- Always write a real reason. It helps the office and the accountant check refunds later.
- If you cannot open this page, your role may not allow it. Ask your school admin. They can change what your role can do under Roles & Permissions.
- To take a new payment at the counter, see Collect a fee at the counter.
